Optiver US LLC’s Talent Management Team (which includes Learning & Development, Recruiting, and Human Resources Operations) is seeking a Coordinator to join our team. This is a unique opportunity for a recent BA/MS graduate to explore different areas within the Human Resources function.  This role will enable you to work with multiple team leads and contribute to Optiver’s overall Learning & Development programs and the identification and retention of employees.  

 

Responsibilities Include:

Administration

    Coordinate logistics for internal Learning & Development programs including creating and ordering materials, scheduling, communicating with participants, catering, room set-up etc. 
  • Assist with scheduling of college recruiting events as needed including room reservations, catering, ordering materials, etc. 
  • Distribute program materials and assignments for Learning & Development initiatives
  • Assist with coordination of phone interviews and in-office interview schedules
  • Plan and schedule recruiter and employee travel for campus recruiting activities
  • Plan travel arrangements for candidates when needed
  • Facilitate the process for and submit candidate reimbursements
  • Assist with pre-employment screening; Prepare offer packages for full-time hires including drafting of offer letter/legal agreements, and benefits-related information
  • Perform other administrative duties that support the department as needed

Program/Project Management

•        Support Learning & Development program design and development by contributing ideas and insight

    Support Recruiting efforts at the university and experienced hire level by helping to develop and define recruiting strategies. 
  • Assist with various marketing and brand building efforts for university students, Career Services, and academic departments 
  • Participate in university recruiting events as needed and onsite recruiting activities like Super Saturdays and office visit events

Systems Management

    Maintain Talent Management portion of internal employee website
  • Assist with daily management of Applicant Tracking System (Taleo) by updating relevant candidate information
  • Develop an internal Learning & Development data management system

Relationship Management

    Address the needs of both internal (employees) and external (candidates) constituents
  • Assist in managing correspondence with candidates throughout the interview process
  • Follow up with program participants and answer questions when necessary

Data Analysis and Metrics

    Contribute to reporting efforts and collecting metrics data for the Talent Management team and Management
  • Produce status reports/metrics on weekly, monthly, quarterly, and year-end basis
  • Assist with survey creation and dissemination to both employees and candidates

Requirements:

    BA/MA Business, Communications, Psychology, Marketing, Education or other discipline required
  • 0-2 years experience in human resources, talent management, and/or recruiting preferred (including internship experience)
  • A strong interest in the human resources field and gaining exposure to various areas
  • Self starter who is eager to work in an entrepreneurial environment at a competitive, growing capital markets firm
  • Excellent organizational skills and ability to multi-task
  • Strong verbal and written communication skills
  • Creative with an ability to think “outside the box”
  • Ability to analyze data and draw meaningful conclusions
  • Intellectually curious; open minded; adaptable; and eager to learn
  • Familiarity with Microsoft office applications; website maintenance a plus
  • Attention to detail and commitment
  • Proven ability to work in a team environment
